Who we are

Information we collect
- Contact details you provide when booking or creating a patient portal account: name, email, phone number, and optional notes.
- Appointment details: service type, date/time, payment preference (self-pay, insurance, or No-Fault), and related insurance or claim information you choose to submit.
- Account information for the patient portal (email and securely hashed password).
- Technical data such as basic server logs needed to operate the site securely.
How we use your information
- Schedule, confirm, remind, and cancel appointments
- Communicate about your visits by email or phone
- Verify insurance or No-Fault benefits when you ask us to
- Operate the patient portal (history, rewards, and booking)
- Maintain our studio calendar and staff scheduling tools
- Improve site reliability and prevent spam or abuse
Google user data (Google Calendar)
Clinic staff may connect Google Calendar to our booking system using Google’s OAuth consent screen. This lets website bookings and studio availability stay in sync.
- We request Google Calendar scopes to read busy/availability times and to create, update, or cancel calendar events related to appointments.
- Access and refresh tokens are stored securely on our servers and used only to sync appointments for Holistic Embraced Healing.
- We do not sell Google user data.
- We do not use Google Calendar data for advertising or independent AI/ML training.
- Google user data is used only to provide calendar sync features disclosed here, consistent with Google’s Limited Use requirements.
- Staff can disconnect Google Calendar in admin settings. Access can also be revoked in the connected Google Account’s security settings.
Sharing
We share information only as needed to run the practice, including with:
- Hosting and database providers that process data on our behalf
- Email delivery providers used for booking and account notices
- Google, when staff connect Calendar sync
- Insurers or adjusters, only when you ask us to verify coverage or a claim
- Authorities if required by law
Retention & security
We keep appointment and account records as long as needed for care coordination, scheduling history, and legal or billing requirements, then delete or anonymize them when no longer needed. We use encrypted transport, restricted staff access, and hashed passwords.
Your choices
- Request access, correction, or deletion of your account or contact details
- Cancel upcoming appointments through the portal or by calling the studio
- Opt out of non-essential marketing emails (appointment messages may still be required)
Children
Our online booking tools are intended for adults arranging care. Guardians may book on behalf of minors.
Changes
We may update this policy. The “Last updated” date above will change when we do.
